The Challenge:

Methodist Sports Medicine (MSM) faced a triple challenge – A move to new office space, a need to reduce medical chart storage costs, and a need to implement EMR. All of this while seeing 200+ patients per day.

• Limited investment in scanning – Instead of a 2 year back scan, MSM is only scanning the charts of patients that are generating revenue.MSM was able to outsource the majority of their Medical Records department responsibilities, freeing staff to focus on the successful implementation of their chosen new system.


• MSM was able to reduce onsite chart storage from 2 years to a rolling 30 days. New patients go direct to EMR.

• Daily scheduled scanning limited to charts of returning patients. Electronic images delivered via FTP creates cost effective and efficient process that delivers images to EMR just as they are needed.


• Chart inventory including date of last service allows practice to implement retention policy management on physical charts stored.


• Physical storage of all charts until they are scanned or retention expires manages the lifecycle of each patient chart at the lowest possible cost.


• Release of Information Processing allows MSM staff to focus on other duties.
